By registering for the ICF Converge 2023, you hereby agree to be bound by the following terms and conditions of registration and participation:

Terms and Conditions-Interpretation and Binding Nature

Any and all matters or questions not specifically addressed in these Terms and Conditions shall be subject to the sole discretion and interpretation of ICF. ICF, in its sole and reasonable discretion, may refuse or cancel a registration at any time and in such event shall not be responsible for any fees or costs incurred as a result of such refusal or cancellation.

Registration Required

Name badges are required for in-person access to Converge 2023. This includes all sessions, networking and other function held in conjunction to the conference.

In-person Attendance

Attendance and participation, in person, at the event is limited to individuals who are 21 years of age or older.

Official Language/Interpretation Services

The official language of ICF Converge 2023 is English. All presentations and materials will be provided in English. Simultaneous interpretation services will be available and provided by Wordly, ICF’s Artificial Intelligence (AI) translation platform.

Translation of the OnDemand package will be available by request. More information on this will be available upon release of the package after the event has taken place.

Inclusions

The in-person registration fee includes admittance to education sessions  and meals and networking event), as outlined in the official Converge 2023 schedule (unless otherwise noted) and access to OnDemand recordings (available approximately three weeks following Converge 2023). Due to room capacities, seating for educational sessions is on a first seated, space available basis. It is recommended that you arrive early to ensure participation in the session.

Purchase of a one-day registration, includes admittance to education sessions for the day of purchase, meals and networking event, as outlined in the official Converge 2023 schedule (unless otherwise noted). Does not include the OnDemand recordings.

Purchase of the Streaming Track/OnDemand package includes live streaming of 12 curated sessions as well as the opening and closing keynotes and 60+ OnDemand recordings (available approximately three weeks following Converge 2023).

Exclusions

The in-person registration fee does not include travel, lodging, ground transportation or other out-of-pocket expenses associated with attendance at ICF Converge 2023. Attendees are solely responsible for and must make those arrangements on their own.

Purchase of a one-day registration does not include OnDemand recordings.

Special Dietary Requests, Food Allergies and Other Special Needs

Individuals with food allergies or special dietary needs must note their specific request(s) at the time of registration. ICF will make reasonable efforts to accommodate dietary requests; however, cannot not guarantee specific requests will be met. ICF will not be able to meet specific requests made at the event.

Any special needs pertaining to mobility impairment or other physical limitations should be fully noted at the time of registration. This information will be forwarded to the venue and reasonable efforts will be made to accommodate these needs.

Cancellation and Refund Policy

Registration cancellations and refund requests must be made in writing by July 31, 2023.

A refund of the full conference fee, minus a $150 USD administrative fee will be given for cancellations received by that date. No refunds will be granted for requests received by ICF after July 31, 2023. Submit all requests to ICF at support@coachingfederation.org. Refunds will not be given for no-shows.

Refunds for purchase of the Streaming Track/OnDemand package will not be issued.

Transfers/Substitutions and Lost Badges for in-person Attendees

Limited substitutions of registrations are permitted prior to the conference and on site. Only one substitution is permitted per original registrant. The individual submitting the substitution request shall be responsible for all financial obligations associated with that substitution.

Badge sharing or splitting is strictly prohibited. Badge reprints, due to a lost badge, will be charged $75 USD and limited to one reprint.

Proprietary Rights of ICF

By registering for ICF Converge 2023, you acknowledge and agree that all content and materials made available by the International Coach Federation (“ICF”) or by presenters at ICF’s events or in ICF’s literary or digital works are protected by applicable U.S. and international copyright, trademark, trade secret, or other proprietary rights and laws. Except as expressly authorized in writing by ICF, you are strictly prohibited from selling, licensing, renting, modifying, distributing, copying, reproducing, transmitting, publicly displaying or performing, publishing, adapting, editing or creating derivative works from such materials, content or other protected work product. Reproduction, copying, creation of derivative works, or redistribution for commercial purposes of any materials or design elements of ICF’s or any presenter’s intellectual property is strictly prohibited without the express written permission of ICF and the presenter. Permission may be granted in ICF’s and the presenter’s sole discretion.

By attending ICF Converge 2023, you hereby grant your voluntary consent that your likeness or image, captured by photo or video, or your voice captured by recording, may be used by ICF for promotional and archival purposes in print, video and online, or in any other format, without notice or compensation to you.

Handouts

Presenter handouts constitute the original work product of the presenters and are thus protected by applicable U.S. copyright laws. In addition to the protections and limitations of use of such handouts set forth in these terms and conditions, such materials are subject to any additional restrictions imposed by the individual presenters.

Program/Schedule Changes

For reasons beyond the control of ICF, it may be necessary to change program content, speakers and/or time blocks. Any such changes are within the sole discretion of ICF and ICF shall not be liable for such program or schedule changes.

Code of Conduct

All participants, in-person and virtual, are expected to behave professionally, respectfully and civilly at all times during the event. Obscene or offensive language or loud, disruptive, abusive or threatening behavior directed to any other event attendee, speaker, ICF staff or building personnel is not conducive to a learning environment and will not be tolerated. Those who violate this policy may be removed from the event and their registration terminated. In the case of such removal, no refunds will be made.

Sale or Public Display of Merchandise

Sale or public display of any merchandise or products at any location, other than that which has been specifically authorized by ICF in writing and in advance, is strictly prohibited. Violators will be subject to cancellation of their room reservations and revocation of their event participation and registration without refund. If deemed appropriate, the violating coach’s ICF Membership may also be formally reviewed by the ICF Board of Directors. This policy will be strictly enforced against violators by both the hotel and ICF.

Private Events

Only registered ICF attendees are permitted to host a private event on-site during ICF Converge 2023. Such event must be pre-approved by ICF in writing through an application process. Hospitality events cannot be scheduled or conducted during ICF’s official program and event hours.

Sharing of Information

If, when registering for ICF Converge 2023, you granted ICF permission to have your electronic personal information stored in our system ,the information you provided upon completing your registration will be used to help ICF plan and execute Converge 2023 and to contact you with essential event information via email. “We” includes ICF’s group entities, as follows: ICF Coaching in Organizations, ICF Coach Training, ICF Credentials and Standards, ICF Foundation, ICF Professional Coaches and ICF Thought Leadership.

Cellphones and Pagers

Please respect your colleagues and speakers. All cellphones and pagers must be turned off during in-person educational sessions, programs, presentations and meetings.

Disclaimer

Presenters alone are responsible for the content of their respective programs, presentations and/or handouts, which are made available for informational purposes only. The views and opinions expressed in the sessions are not necessarily those of ICF and are not endorsed by ICF. ICF specifically disclaims any and all legal liability or responsibility for the content expressed in the sessions or materials distributed as a part of the session.

Disclaimer of Damages and Liability

ICF hereby disclaims and denies any and all liability or responsibility whatsoever for any losses, damages or injuries (including death) to persons or property sustained or alleged to have been sustained by any attendee or any attendee’s employees, agents, guests or representatives arising out of or resulting either directly or indirectly from attendance at or participation in ICF Converge 2023. Each attendee shall be solely responsible for any property damages or injuries caused, either directly or indirectly, by the conduct of such attendee (or the attendee’s employees, agents, guests or representatives) and shall indemnify, defend and hold harmless ICF, its officers, directors, employees and volunteers from and against any and all third party claims, actions, or causes of action, damages, injuries, losses, liabilities, judgments, costs and expenses, including reasonable attorneys’ fees, incurred or to be incurred by ICF and which arise out of such third party claim. This duty of indemnification will survive the conclusion of ICF Converge 2023.

Antitrust

ICF recognizes all applicable state and federal antitrust laws and expects that all attendees will abide by the same at all times during the event.

Failure to Perform

ICF shall not be liable for any failure to perform or any delay in performing its obligations if the failure or delay is due directly or indirectly to any cause beyond the reasonable control of ICF, its employees, volunteers, agents or representatives which shall include, but is not limited to, fire, flood, explosion, accident, Acts of Nature, including hurricane, tornado, earthquake, acts of terrorism, civil disturbance or emergency or periods of armed conflict, labor strikes or stoppages, public health emergency, including pandemic or epidemic, or travel advisory, or the curtailment of transportation facilities which makes the conduct of the event impossible, illegal or commercially impractical.

Waiver

Waiver by the ICF of any of these Terms and Conditions shall not constitute a waiver of any other term or condition or breach of these Terms and Conditions.

Applicable Law and Jurisdiction

The Attendee hereby agrees that the laws of the Commonwealth of Kentucky shall control construction and enforceability of these Terms and Conditions and hereby consents to the personal and subject matter jurisdiction of the courts of the Commonwealth of Kentucky and Federal District Courts within the Commonwealth of Kentucky with respect to any right of action arising under these Terms and Conditions.

Severability

In the event any provision of these Terms and Conditions is held invalid or unenforceable, then neither the remaining provisions of these Terms and Conditions nor other applications of provisions involved shall be affected thereby.

Amendment

These terms and conditions shall be deemed binding upon registrants for ICF Converge 2023. ICF reserves the right, in its sole and reasonable discretion, to amend such terms and conditions as it determines appropriate and necessary under the circumstances. ICF will endeavor to provide registrants with notice of any such changes.
